Operations consulting for home services and real estate

We find the waste, then automate the rest.

Most small businesses don't need more software. They need someone to figure out where the week actually goes. Opulogix maps your real workflows, fixes what's broken for free, and automates only what's worth automating.

/01THE REALITY

Your shop runs on four systems. None of them talk to each other.

Jobs in your field software. Money in QuickBooks. The schedule on a whiteboard or in someone's head. Your office stitches it together by hand — every job, every week. It works, until it doesn't.

/02THE COST

You find out too late to fix it.

The estimate nobody followed up on. The invoice that sat unpaid for 45 days. The callback that slipped because the tech was on another job. By the time you see it, the money's already gone.

/03THE GAP

You know something needs to change. You just run a business, not a software project.

So it stays on the someday list while the leaks keep leaking.

We find the leaks first. Then we fix only what's worth fixing.

Where does the week actually go?

Most owners can't say. The work happens in a tool, a notebook, and your head — and nobody's ever drawn the whole thing.

What's leaking, and where?

Missed calls. Follow-ups that never happened. The same information typed into three places.

Which of this is worth automating?

Some of it. Not most of it. Knowing the difference is the entire job.

The thesis

Automating a broken process doesn't fix it.

It makes the waste happen faster — and now you're paying a subscription for it.

That's why we don't lead with software. We start with Lean process work: map the workflow, find the waste, fix what costs nothing to fix. Whatever survives that is worth building, and that's the part we build.

It's the same discipline used in manufacturing and healthcare, sized down for a business with three people instead of three hundred. No jargon, no wall of sticky notes. Just an honest look at where your time goes.

"We don't come in and cut people. We come in and free them."

The goal is to take admin off your team so they can do the work you actually hired them for. Automation is one tool we use. It isn't the point.

What we do

Three stages. You can stop after any one of them.

Operations Audit

$500 · about two weeks

  • A written report, not a sales call
  • Your workflows mapped, the waste identified, the no-cost fixes listed separately
  • A ranked build recommendation with hours and dollars attached
  • Credits in full toward a build approved within 30 days
  • Refunded if it doesn't find at least $500/year of recoverable time
  • Yours to keep and act on, with us or without us

Build

Typically $1,500–$2,500 · live in weeks, not quarters

  • We build the highest-value items from the audit — and only those
  • Billed 50% to start, 50% at go-live
  • Built inside accounts you own
  • Full documentation and a walkthrough with your team
  • Tested against real work before it goes live
  • May include AI agents for lead response, follow-up sequences, scheduling automation, reputation management, and reporting — deployed inside tools you already own

Management

$400–$600/month · month-to-month, 30 days' notice

  • Monitoring, fixes, and a quarterly review to pick the next thing worth building
  • No annual contract and no cancellation fee

Software and usage are billed at cost, itemized, with no markup — typically $250–$450/month depending on volume. We'll never quote a flat fee that quietly absorbs your usage, because that would give us a reason to send fewer messages than your business needs.

We don't come in and cut people. We come in and free them.

Most automation companies show up with one tool and apply it to every problem. Opulogix works differently. We start with your business — your workflows, your people, your processes — and we use proven improvement frameworks including Lean Six Sigma and workflow redesign to understand where the real friction is. Then we apply the right solution, whether that's a process change, an automation, better reporting, or all three. The goal is never to reduce your headcount. It's to eliminate the admin burden stealing your team's time — so your people can focus on the work that actually matters.

Who we serve

Two kinds of businesses. Same underlying problem.

Home service companies and real estate agents look different on paper, but they run on the same three things: leads that go cold if nobody answers fast, appointments that have to land on a calendar, and follow-up that falls apart when the owner gets busy.

Home services

HVAC, plumbing, electrical, roofing, landscaping, pest control. Typically $250K–$3M in revenue, where the owner is still dispatching.

Real estate

Solo agents and small teams drowning in portal leads, listing paperwork, and client follow-up.

How we're different

Six things most of this industry won't tell you

No migration required.

We build around what you already use. Ripping out a working system to install ours is a sales tactic, not a recommendation.

You own everything.

Every build lives in your account with documentation you keep. If you leave, it keeps working and someone else can pick it up.

We'll tell you when it isn't worth it.

Some of what you want automated costs more to build than it saves. We'd rather say so in week two than take the money and find out together in month four.

Compliance comes up before you ask.

Automated texting has consent and opt-out rules. AI-written listing copy and ad targeting carry fair housing exposure. Anything touching forms, disclosures, or advertising ID needs broker approval. We flag it and build a human review step before anything publishes. (Not legal advice — we're not attorneys. But you should hear it from your automation partner, not from a complaint.)

Local and reachable.

Based in Bangor, Maine. You get someone who knows your business, not a ticket queue and a rotating account manager.

AI is a tool in our kit. Not the whole kit.

We deploy AI agents for lead response, automated follow-up, appointment scheduling, and reporting when the audit shows they'll deliver measurable return. Every agent is tested before it goes live, documented when it ships, and yours to keep when the engagement ends.

Compliance isn't an afterthought. It's built in from day one.

TCPA Compliance

Every automated SMS sequence includes proper consent capture and one-click opt-out. We build this in before anything sends — not after a complaint.

Fair Housing

AI-generated listing copy and ad targeting carry real fair housing exposure. We flag it, build a human review gate, and make sure nothing publishes without approval.

Data Ownership

Your data never lives in our systems. Everything is built inside accounts you own and control. You can walk away at any time and take everything with you.

Human Review Gates

No AI-generated content publishes automatically to your customers without a human approval step. We build the gate before we build the automation.

We're not attorneys. But your automation partner should be raising these issues before you ask — and we do.

Twenty-eight years of fixing how work gets done.

Opulogix is built on twenty-eight years of operations and process improvement across healthcare, bioscience, and general business — environments where a broken workflow doesn't cost you a sale, it costs something a lot more important. That's where the discipline comes from, and it's why we map the process before anyone touches software.

Every system we recommend gets built and run first at our own HVAC company here in Maine. Real customers, real dispatch, real consequences when something breaks. We don't sell you anything we haven't run ourselves.

And you don't have to take any of that on faith.

If the audit doesn't find at least $500 a year of recoverable time in your business, you get the $500 back. That's the whole risk of working with us.

Questions we hear before the first call.

Start with the audit.

Two weeks, $500, and a written report you keep. It credits toward a build if you want one, and it's refunded if it doesn't pay for itself.
